Job Description

Administry Team Role: The Administry Team Member (ATMs) are to provide administrative, coordinating and logistics support to MCO activities and programs. They are expected to work closely with their MCOs and volunteers to ensure the events, programmes and activities of MCOs are properly executed. They will report directly to their PTMs, Managers, Directors or Pastors who will have oversight of their work.

Responsibilities

Church Governance & Risk

  • Provide administrative and operational support the CGRC, Director of Administry in governance, compliance and risk matters under the terms of reference of the CGRC
    • Governance Evaluation Checklist
    • Conflict of Interest Register
    • Coordinate meetings and handle agendas, take minutes, and follow-ups.

  • Documentation & Reporting
    • Maintain accurate records for governance, risk, and compliance matters.
    • Prepare reports and presentations for internal and external stakeholders.
    • Support internal audits and coordinate responses.
    • Handle government submissions and related documentation.

  • Maintain the Risk Assessment Matrix which identifies all significant/material risks facing the church and adequacy of measures to mitigate such risks

  • Maintain the Regulatory Obligations Register which summarise key regulations applicable to the church and the controls require to ensure compliance

Church Analytics

  • Support for analytics projects coordination and admin, basic data analytics work

  • Support with volunteer management including volunteer listing, communication, appreciate and events

  • Administrative tasks including room booking, meeting minutes, budget, payment and claims support

Requirements

  • Must have strong administrative skills and be detailed in work

  • 5 years or more working in an administrative capacity

  • Experience in governance, risk or analytics fields is a plus

  • Expected good knowledge of Microsoft applications; Word, Excel, PowerPoint & etc

  • Familiar with application tools and software (e.g., Google Forms, PDF, WhatsApp, calendaring tools)

  • Good knowledge of various virtual meeting platforms; Zoom, MS Team & etc.

  • Ability to handle multiple priorities and meet deadlines.

  • Is confident and self-motivated, able to work independently.

  • Able to work on weekends when required.
